Setting Up Gmail in Outlook- A Thorough Guide

Reasons to configure Gmail in MS Outlook

If you are someone with multiple email accounts, setting up Gmail in Outlook can be very beneficial for you, the reasons are:

  • With Outlook you can easily organize multiple email accounts without much difficulty but not with Gmail.
  • Gmail, sorting mail and email is quite inconvenient

You know the importance of coordinating Outlook and Gmail. So let’s proceed with the configuration process.

Steps to configure Gmail in Outlook

Step 1 Enable Gmail IMAP Settings

To allow Outlook to access your email, the first step is to enable Gmail’s IMAP settings. Let’s see the important steps:

  • First, log into your Gmail account and navigate to the settings by clicking the ‘Gear’ icon, then ‘Settings’.

If you have Gmail two-factor authentication enabled

If you have two-factor authentication enabled for your Gmail account, you may need to take additional steps beyond enabling Gmail server settings. Since Outlook does not currently support two-factor codes, the connection will not be established without creating a special password in your Gmail settings.

For this, here are the steps you must apply:

  • Click on your Gmail account profile picture in the top right corner of Gmail and select ‘Manage your Google account’.

Step 2 Add Gmail to Outlook

After you have enabled IMAP settings, follow the given steps to configure Gmail in Outlook

  1. Open Outlook and click ‘File’ then select the ‘Add Account’ option.
  2. A dialog box will appear, enter your Gmail address, then enter the password. In case you have enabled two-step authentication for Gmail, you must enter the password that you created in the previous process.
  3. Click ‘Next’ and Outlook will start receiving the settings from Gmail and test the connection. If everything works fine, you will receive a congratulatory message.
  4. Click ‘Finish’ and you can now start sending and receiving Gmail in Outlook.

Server Information

Account type: IMAP

Incoming mail server: imap.Gmail.com

Password: your Gmail password

  1. Click on ‘More Settings’ and then on the Outgoing Servers tab.
  2. Next, select ‘My outgoing server (SMTP) requires authentication’ and then click ‘Use the same settings as my incoming server’.
  3. Select the Advanced tab
  4. Fill in the following details in the form:

Incoming Mail Server (IMAP): 993

Use the following type of encrypted connection: SSL

Outgoing Mail Server (SMTP): 465

Use the following type of encrypted connection: SSL

  1. Click ‘Ok’ to exit the Internet E-mail Settings dialog box and you will be returned to the Add Account dialog box.
  2. Click ‘Next’ and Outlook will start testing the connection. Hopefully the test will complete successfully.
  3. If the test is successful, click ‘Close’ and then select Finish. You should now be able to send and receive your Gmail in Outlook.

Step- 3 Access Gmail in Outlook

After successfully completing the above process, it will successfully add the Gmail account to your Outlook account. Alternatively, if you also have other accounts associated with Outlook, you can switch between them using the left sidebar.

If you’re replying to messages from an Outlook account with multiple accounts, you can click the ‘From’ box to change the email address and select the address where you want the reply to be sent. Make sure not to select the wrong account while responding.

Step 4 Install Gmail in Outlook

Now that you’ve configured your Gmail account in Outlook, you might want to know some important additional Gmail settings to access it in Outlook.

The above process allows you to sync your Gmail with Outlook and does not include contacts or calendar. Moreover, if you mainly use Gmail in Outlook, it is better to set it as default.

For that,

  • Go to ‘File’, select ‘Info’, click ‘Account Settings’, then ‘Account Settings’ from the drop-down list.
  • In the Email tab, click on your Gmail address and then select ‘Set as default’.

Connect Gmail to Outlook using TLS

If you are not able to connect Gmail to Outlook using the steps above, most likely SSL is not working, so you can do the configuration using TLS.

  1. Click ‘Close’ to exit the test dialog and then select ‘More Settings’ to open the Internet E-mail Settings dialog box.
  2. Next, click on the Advanced tab and make the following changes:

Outgoing Mail Server (SMTP): 587

Use the following type of encrypted connection: TLS

  1. Select ‘Ok’ to exit the Internet E-mail Settings dialog box and return to the ‘Add Account’ dialog box.

Click ‘Next’ and Outlook will start testing the connection. This should solve the problem and you can check if you can send and receive Gmail in Outlook.
